  1. No-Risk Estimate: Contact us with an NDA and the RFP package. We will conduct a Rough Order of Magnitude (ROM) estimate (± 50%) at no risk to you. 
  2. Engagement Agreement: If you agree to use us, we will send an engagement agreement that details the scope of work, what is outside the scope, fee, payment schedule, and the other T&Cs.  
  3. Engagement Fee: After you sign and return the agreement, we require payment of an engagement fee, which is a portion of the estimate, before we initiate any work. THIS IS NON-NEGOTIABLE. The fee is then credited to the project, consumed as the work progresses, and deducted from the hours expended. 
  4. Deep Dive Analysis: After receiving the engagement fee, your project is added to our calendar, and our experts will thoroughly analyze the RFP package and all addenda to understand all requirements and expectations. 
  5. Deliverable Checklist: As we examine the RFP package, we produce a detailed Deliverable Checklist that identifies all the necessary components to win the RFP.  
  6. Proposal Template: We will use your template (if it exists) or create one to detail the findings of the deliverable checklist. This template becomes the master working file for the proposal. 
  7. Kick-Off Meeting: We will meet with you and your team to review the deliverable checklist and proposal template to determine the most effective course of action and deliverable owners and the dates they are to provide their deliverables. 
  8. Proposal Development: Our team works diligently to craft a winning proposal, ensuring all technical and commercial aspects are covered. 
  9. Project Manage if Wanted: Many clients have benefitted from our project managing the proposal development. As outside consultants, we do not mind being blamed for hurt feelings by badgering different managers and staff to complete their deliverables according to the schedule. This maintains harmony and avoids intra-staff conflicts.  
  10. Team and Color Review Meetings: If the schedule allows, we will facilitate the proposal’s different reviews and team meetings to ensure it is developing correctly. 
  11. Complete the Final Proposal: We finish the proposal’s content edit, copy edit, proofread, and typeset and then collate the package per the RFP instructions. 
  12. Turnover Care, Custody, and Control: We turn over the final proposal package to you with clear instructions on how to submit it. 
  13. Submission: You submit and take all the credit.
